How to Make Labels in Microsoft Word

By using Microsoft Word to create labels, you can save yourself the time it would take filling out each one by hand. The program has a number of built-in templates for label-making. These templates already have the right layouts and measurements for several sizes and brands of labels.

Using a template means that you don’t have to manually format your document for the label measurements that you need. Here’s what you need to know about how to use these templates:

Making a Label in Microsoft Office 2013

  1. Open a blank document in Microsoft Word.
  2. Click on the “Mailings” option in the bar at the top of the document.
  3. Click on the “Labels” tab in the menu bar beneath the menu at the top of the document. After clicking on “Labels,” a new window will open up.
  4. Click on the “Options” button in the new window. This will open another window.
  5. In this second new window, plug in the information about the label vendor and the type of printer that you are using. You will also need to enter the product number. This number is printed on your box of label paper. The product number indicates which template you should be using. For example, one product number corresponds to the template for a document with a 3×3 grid of labels, while another product number corresponds to the template for a document with a 4×6 grid of labels.
  6. Click “OK” in this window and it will close.
  7. In the first new window, type in the text that you want to appear on the label. Click “OK.”

Making a Label in Microsoft Office 2011 for Mac

  1. Open a blank document in Microsoft Word.
  2. Click on “Tools” in the menu bar at the top of the screen. This will open a drop-down menu.
  3. Scroll through the drop-down menu and you will see the “Labels” option. Click on it.
  4. The remaining steps are the same as the corresponding ones listed above.

Adding Addresses

Instead of changing the text for each label individually, there is a way to import mailing addresses from your Office Address Book or from an Excel or Word document. This tool is called the Mail Merge Manager and it will save you a lot of time, since you won’t have to retype each recipient’s information.

Using the Mail Merge Manager in Microsoft Word 2013

  1. Click on the “Start Mail Merge” button in the “Mailings” sections, and then click on “Labels.”
  2. Click on “Select Recipients” to create a new list or to use an existing list.

Using the Mail Merge Manager in Microsoft Word 2011 for Mac

  1. Open the “Labels” window by following the first three steps in the “Making a Label in Microsoft Office 2011 for Mac” section of this article.
  2. In the “Labels” window, click on “Get List” in the second section.
  3. Click on “Open Data Source” or “Office Address Book” to import your list from a document or from your address book.

Previewing Results

The Mail Merge Manager will fill your document with the Mail Merge codes for the content in your list. As a result, the text in the labels will not look like the actual entries in your list. To see how the labels will look when you print them, click on “Preview Results.”
